Seeking: Events and Fundraising Coordinator
PURPOSE OF THE ROLE
To successfully maintain, develop and deliver events and fundraising activities of the Autism Community Network (ACN). To achieve ACN’s sponsorship and marketing business objectives, maximise profitable commercial outcomes and ensure the delivery of quality product and service for both clients and the ACN. Effective management of sponsor/partner activity, as well as the acquisition of new and retention of existing partnership and sponsorship agreements. As this is a fast growing business and the organisation is still evolving, the role may overtime be modified and amended to ensure it is a full range of duties associated with the growth and public profile of the organisation.
KEY PERFORMANCE AREAS
Communicate and deliver on needs of sponsors and clients
To achieve and maximise event sales enquiries into confirmed bookings, up selling wherever possible
Create and uphold client relationships and personally follow up on all bookings.
To exceed expectations in customer service, attitude and standards
To ensure that all correspondence to clients is in writing.
Maintain and enhance the desired image of the ACN Brand within the community

Conduct client and event feedback processes
Post Event debrief completed for all major events / promotions
Regular positive press stories and exposure
Participation at industry networking events building relationships with industry contacts
Develop and record progress of goals for clients that are specific, measurable, achievable, relevant and time limited.
Always believe and promote the mission, vision and values of the organisation
Enhance Financial Agreements of Annual, Relationship and Event Sponsors
Develop relationships with and secure funding support from Major Donors, Trusts & Foundations, corporate sponsors, bequestors and other supporters
Coordinate internal and external meetings with clients, significants others and potential financial supporters and follow up any outstanding matters in a timely manner.
Identify business development and sales opportunities across business
Negotiate and finalise sponsorship agreements, ensuring the exchange of approved and signed contracts
Keep accurate files and records of all sponsor/partner contracts and negotiations
Promoting strong and transparent governance standards in the philanthropic sector.
Event Action Plans and Outcomes
Play a key part in the achievement of the business vision, goals and objectives, formulating marketing, relationship and event strategic action plans
Monitor and evaluate event action plans, ensuring it is adjusted as appropriate and financial outcomes achieved.
Set and – on agreement – manage and monitor event budgets, ensuring effective cost control and that purchase orders are processed promptly and correctly.
Operations that are run efficiently and effectively
Be the main point of contact for sponsors/partners, ensuring that all obligations to the sponsor/partner are complied with. Meet with sponsors/partners or their agents and build positive and productive relationships with them
All fundraising operations are conducted with financial and operational integrity.
Coordinate all aspects of event days ensuring the comfort and welfare of all guests and patrons
Create good relationships between yourself, venue staff and operational suppliers, thereby creating efficient, friendly working environment.
Be responsible for ensuring appropriate invoice instructions and liaise with key account, sponsor/partner, and finance department regarding payment.
Ensure payments are received in a timely manner and chase outstanding payments, liaising with accounts as required.
Monitor Donations, sponsorship and event budgets and financial activity, providing reports as appropriate to the running of the business and carrying out cost benefit analysis on work.
Actively engage in regular action plan meetings with ACN management
Information Management and Communication
Maintain up to date accurate and comprehensive client, supplier and sponsor records and documentation within ACN IT systems and policies.
Maintain confidentiality of information of all client information and staff schedules
Social Media and Media/Advertising Interactions
Execution of appropriate internal and external communications including media/PR, various marketing materials (eg. advertising, signage, digital media and printed collateral) used across various media platforms relating to events, branding and ACN communications.
Management and editing/ writing of corporate collateral, event proposals and general marketing.
New business & growth objectives are achieved
To continuously source new business using strategies and resources put in place.
Continuously discuss and present new ideas to the GM in order to increase sales and maximise revenue
Ensure appropriate planning is undertaken for special events.
